P&E Sports – Terms and Conditions (Holiday Camps & Sessions)

1. Bookings

  • All bookings must be made online via our website: www.pandesports.com.
  • Spaces are allocated on a first-come, first-served basis and are only confirmed once the booking form is completed and payment details are provided.

2. Payment Options

  • You can choose to pay in advance at the time of booking or pay on the day (where applicable).
  • For activities that operate on a subscription or membership basis, payments will be taken automatically on the agreed schedule (weekly or monthly).

3. Commitment to Payment

  • By completing the booking form, you agree to pay for the service booked.
  • If your child does not attend a booked session or camp, payment will still be required unless the cancellation terms below are met.
  • Failure to make payment may result in suspension from future bookings until the balance is cleared.

4. Cancellations and Refunds

  • Cancellations must be made at least 14 days prior to the first date of your booking to receive a full refund.
  • Refunds will be processed within 10 working days of approval.
  • Cancellations made within 14 days of the start date will not be refunded.
  • No refunds or credits will be given for individual days missed within a multi-day booking.

5. Changes to Bookings

  • Changes to dates or session times can be made up to 14 days before the first session, subject to availability.
  • Any requests after this period may not be accommodated.

6. Late Collection

  • All children must be collected promptly at the advertised finish time.
  • A £5 late fee will be charged for every 15 minutes (or part thereof) after the scheduled collection time.
  • Repeated late collections may result in exclusion from future sessions.

7. Cancellations by P&E Sports

  • In the unlikely event that P&E Sports must cancel a session or camp (e.g. due to weather, staffing, or facility issues), you will be notified as soon as possible.
  • You will be offered an alternative session or a full refund for any sessions cancelled by us.

8. Behaviour and Safety

  • P&E Sports reserves the right to remove any participant who displays inappropriate behaviour, endangers others, or repeatedly fails to follow staff instructions.
  • In such cases, no refund will be issued.

9. Health and Medical Information

  • Parents/guardians must provide full details of any medical conditions, allergies, or additional needs during the booking process.
  • P&E Sports cannot accept responsibility for issues arising from information not disclosed prior to attendance.

10. Photography and Media

  • P&E Sports may occasionally take photos or videos for promotional use on social media or marketing materials.
  • If you do not consent to this, please notify us in writing at the time of booking.
